Essential By D'esign, Inc. we do more than just provide services we also integrated and blend all of the resources needed to make our client’s conference, event and or meeting a great success! Our service offerings include but are not limited to:
Audio-Visual Procurement – We provide a professional audiovisual state-of-the-art equipment for corporations, associations, and large to small businesses. Each meeting, conference or event is operated by certified sound technicians, engineer and production coordinators. A dedicated technician is assigned to work extensively with clients and trade show organizations.
Budget Management & Reporting – An account executive is assigned to work with the client in developing and managing their event budget. Reports are provided throughout the entire planning process. For every event, we prepare a comprehensive program budget and we monitor expenses to ensure the financial stability of the program. On behalf of the client, we also establish master accounts with hotels and other vendors. At the end of the event our clients are presented with a financial summary, which shows actual versus budgeted expenses. Throughout the planning process, however, we are continually monitoring the budget and keeping our clients abreast of the budget status.
Development of Planning Timeline - We work with our clients to develop an all-inclusive planning timeline that identifies every task that needs to be accomplished from the initial planning stage through program evaluation. The timeline is designed to make sure that everyone involved in the planning stages is aware of what their responsibilities are. By monitoring the timeline throughout the planning process, we make sure that tasks are accomplished and deadlines met according to schedule.
Direct Mail Promotions - We assist clients with launching promotional campaigns in marketing their events, meetings, new products and more through direct mail marketing. We do the printing, and mailing all in one.
Exhibit & Tradeshow Management - We work directly with the conference association management to secure your company's exhibit booth space in a prominent position at conferences and trade shows, and manage all logistics associated with your company's properties.
Floral Design – Yes we have are own personal florist on board who is certified and part of the network of florists nation-wide, and who has design floral stage settings for a national TV show.
Graphic Design & Production – Our graphic designer is very diverse. We have designed, produced and printed graphics for healthcare companies such as Abbott Laboratories, television stations - NBC5, and numerous local municipalities in Lake County, Illinois.
Incentive Programs Service - For employees, we can provide incentive travel trips within and outside the United States.
Media & Production Services - Our extended media associate works with a variety of media to help our clients deliver their key messages, attract customers, train employees, and reach their audiences. Whether your communication need is small - a feature article, a short marketing video, a sales brochure - or large - an annual meeting, training seminar or website development we have the media connection and expertise and flexibility to assist you.
Meeting & Special Event Planning – No meeting or event is too big or small. Meeting Essentials By D'esign, Inc. we plan corporate events, national sales meetings, national conferences, team building exercises, expos, fairs, and much more.
Onsite Meeting Management Services – We provide a dedicated meetings management staff for each client event to ensure the successful operations of your event. Our professional leadership and customer service allows our clients to focus on their meeting or conference. Our on-site services include the coordination of all event logistics, registration hotel accommodations/attendee check-in, meal functions and breaks, audio-visual requirements, exhibits/trade show management, excursions, and any other services required by our clients.
Printing - We have alliances with a network of certified reproduction, and commercial printers, which enables us to provide on-demand, digital and press state-of-the-art printing of materials for our clients, conferences, meetings and special events.
Project Management – Our meeting management team is skilled in managing projects of various types. Our primary areas of project management have been in conference and event management, audio-visual, healthcare engineering, and marketing communications.
Promotion Gifts – We have an established network of suppliers that we work with in securing the latest in promotion gift ideas for our clients and their employees. All promotion gifts are customized to the client’s specifications in logo and design.
Registrar Staffing – We have an on call staff of 15+ registrar staffers for meetings, exhibits, conferences, special events and more. All our registrars are trained.
Meeting Essentials By D'esign, Inc. services offer full-computerized registration on-line and on-site and provide the registration staff.
We receive registrations via fax, phone, mail, and electronically. We provide a daily reporting log of all registrations received and input.
Registration Service - Meeting Essentials By D'esign, Inc. provides a registration system for our clients, which allow for tracking and management of all conference registration needs. The database can be customized to service your specific requirements. Additionally, we offer on-line registrations. Registration services include pre-conference services including all inquires, correspondence such as confirmation letters, receipts of payment, cancellation letters, and maintenance of database with conference registrants, panelists, and keynote speakers.
Site Selection - Availability searches and site inspections are conducted to identify the best property and location to host your conference, event and or meeting. Our team works with destination management companies, hotel concierges, convention and visitor bureaus to select the ideal venue for your event.
Throughout the years, we have established business relationships, nation-wide with a network of major hotels, convention and conference centers. When selecting a venue for an event, meeting or conference facility, our primary goal is to satisfy our client’s location preference and budget requirements.
Speaker Arrangements – Our team coordinates all speaker travel arrangements. Our goal is to ensure that their airline reservations, ground transportation, and lodging needs are taken care.
Supplier Negotiations – We take the hassle out of the hands of our clients in negotiating with suppliers, hotel management, and conference association management staff to secure the services on the behalf of our clients at the best-negotiated rates.
Travel Arrangements - We negotiate contracts with major airlines and car rental agencies in order to secure significant discounted fares. In addition, we arrange local ground transportation, such as shuttle and bus services, to take attendees to off-site or remote locations. We work with a network of transportation and destination management companies, which enables us to obtain competitive rates.
Website Design – To assist clients in marketing their company and events, we have designed and managed several websites ranging from a basic to classic interactive design. We also do bilingual websites in Spanish as well.
